At Avivo, we are committed to providing you with high-quality services – and this policy outlines our obligations with regard to managing your Personal Information.

What is Personal Information and why do we collect it?

Personal Information is information or an opinion that identifies an individual – for example, your name, address, email address and phone numbers.

 We collect this information in a variety of ways. These may include:

• websites (Avivo.org.au and others) and cookies
• media and publications
• other publicly available sources
• third parties (noting that we don’t guarantee website links or policies related to authorised third parties)

When we collect this information, we do so to ensure we are  tailoring our services to your needs, to provide information to our clients, and to support our marketing efforts. We may also use your Personal Information for purposes closely related to these primary goals, but only in circumstances where you might reasonably expect us to.

We may use your details to send you newsletters and other materials, including by email – and if you wish to unsubscribe from our mailing/marketing lists at any time you may do so by contacting us at hello@avivo.org.au

From time to time  we may engage with external contractors in information technology, web design and data management to process your details – however, these suppliers adhere to privacy requirements matching those observed by us at Avivo.

When we do collect your Personal Information, we’ll always strive to explain – wherever possible – why we are collecting the information and how we intend to use it.

Sensitive Information

Under the Privacy Act, sensitive information is defined as including details or opinions about an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.

We will only use sensitive information:

• For the primary purpose for which it was obtained
• For a secondary purpose that is directly related to the primary purpose
• With your consent, or where  we are required or authorised to by law.

Third Parties

Where it’s reasonable and practical, we will only collect your Personal Information directly from you. However, in some circumstances we may receive information from third parties. In this case, we will make reasonable efforts to let you know about  the information provided to us.

Disclosure of Personal Information

We are committed to protecting your Personal Information. Circumstances in which we will disclose it are limited, and include:

• Where required or authorised to by law.

Security of Personal Information

We store your Personal Information in a way that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure.

Once your Personal Information is no longer required for its original purpose, we will take reasonable steps to destroy it or ensure it’s permanently de-identified. However, most Personal Information is or will be stored in client files which we retain for a minimum of seven years.

Access to your Personal Information

You can ask to see and update or correct the Personal Information we hold about you, with certain exceptions. To request access to your Personal Information, please write to us via email at hello@avivo.org.au or via letter addressed to our office at 2/30 Hasler Road Osborne Park 6017.

While there is no charge involved in requesting access, we may apply a small administrative fee for providing a copy of your Personal Information.

To protect your Personal Information, we may need to verify your identity before sharing the requested information.

We want to keep your Personal Information accurate and up to date. If you notice any errors or outdated information, please let us know as soon as possible. This helps to ensure we are providing you with the best possible service.
